MMI

Privacy Policy

1. Who we are

This Privacy Policy explains how Acavent (“we”, “us”, “our”) processes personal data in connection with the International Conference on Migration, Mobility, and Integration (MMI 2027), including the mmiconf.org website, registration and submission forms, support channels, email communications, photography and video from the event, and any related online sessions.

It applies to attendees, authors, speakers, Scientific Committee members and reviewers, sponsor and partner contacts, and website visitors.

2. Data we collect

  • Submission data: abstract and paper files, author and co-author names, institutions, and email addresses.

  • Registration data: for the attendee and, where different, the person paying — contact details, billing address, role, and participation type; any dietary or accessibility preferences you choose to share.

  • Phone numbers, and SMS consent where you give it.

  • Passport data, only where an invitation letter is requested: name as in passport, nationality, date of birth, passport number, and expiry date.

  • Payment data: processed by our payment providers; we do not store full card details. Bank-transfer receipts you upload.

  • Technical fields captured with each form: conference and round, marketing source, campaign and keyword, landing page and referrer, and country derived from IP address as a fallback.

  • Collected automatically: device, browser, IP address, and usage data via cookies and similar technologies.

  • Support enquiries and correspondence.

  • Publication data: if your work is accepted, your name, affiliation, and submission details appear in the programme, Abstract Book (ISBN), Proceedings (ISSN/DOI), the website, and post-event archives.

  • Photos, video and recordings: we photograph and record the event, including venue footage and online sessions. Your image and voice may appear in these materials. Participants who prefer not to be photographed may tell us at registration or on site.

3. Why we use it

  • Event administration — verifying registrations, issuing confirmations, invoices, and certificates, managing submissions and reviews, running sessions, and providing support (contract)

  • Peer review — sharing submissions with Scientific Committee reviewers on a double-blind basis (contract)

  • Publication — producing the programme, Abstract Book, and Proceedings (contract; legitimate interests)

  • Invitation letters — preparing and issuing official documentation on request (contract)

  • Communication — result and deadline notifications, registration updates, schedules, and policy changes, by email and — only with your consent — by SMS (contract; legitimate interests; consent for SMS)

  • Newsletter and event marketing — information about MMI and similar events, with unsubscribe in every message (consent; legitimate interests for existing participants)

  • Documentation and promotion — use of event photography and recordings (legitimate interests; consent where required)

  • Legal compliance — tax and accounting records, safety, and lawful requests (legal obligation)

4. Sharing

  • We never sell your personal data.

  • Service providers — hosting, payment processing, email, CRM, plagiarism screening, streaming, analytics, and helpdesk vendors, under contract and prohibited from using your data for their own purposes.

  • Scientific Committee reviewers — submission content only, on a double-blind basis.

  • Publication outputs — author names, affiliations, and titles appear publicly in the programme, Abstract Book, Proceedings, and archives.

  • Passport data — used only to produce the invitation letter, never shared beyond the team preparing it, and never sent by SMS.

  • Sponsors — your contact details are shared only if you explicitly opt in during registration. You can withdraw at any time.

  • Legal and safety — where required by law or to protect rights and security.

  • International transfers — where data moves outside the EU/EEA, we rely on lawful safeguards such as Standard Contractual Clauses.

To exercise any of these rights, email [email protected]. You also have the right to complain to your local data protection authority.

7. Cookies

We use cookies and similar technologies to operate the website, measure performance, and — with your consent — personalise content and advertising.

  • Strictly necessary — core functionality such as form entries and secure sessions. Cannot be disabled.

  • Performance & analytics — how visitors use the site. Aggregated.

  • Functionality — remember preferences such as language or region.

  • Advertising & targeting — set with your consent, by us and partners, to measure marketing effectiveness.

A consent banner appears on your first visit and lets you manage preferences at any time. You can also block or delete cookies through your browser settings — this may affect functionality.

8. Security

We apply appropriate technical and organisational measures, including encryption in transit, access controls, role-based permissions, staff confidentiality obligations, and vendor due diligence. No online service is completely secure, but we work continuously to protect your data.

9. Children

MMI 2027 is intended for adults. Under-18s may attend only where permitted and accompanied by a parent or guardian. We do not knowingly collect children’s data without appropriate consent.

10. Updates

We may update this policy. Material changes are notified to registered participants.
